The first reply has one job
A portal or website enquiry is already a conversation. The buyer has named a property or asked a question. Repeating a biography, sending a generic sales introduction, or asking six qualification questions makes the reply feel disconnected from the message they sent.
A useful first reply shows that the enquiry was read. It answers what can be answered, makes the next action concrete, and asks only for the information needed to continue.

- Property anchor: name the exact listing or area so the reply cannot be mistaken for an automated broadcast.
- Direct answer: address the buyer's question with verified information before introducing yourself.
- Concrete options: offer two useful times while making access or seller approval conditional when needed.
- One question: ask only what helps determine the next action, such as timing, representation, or relocation status.
What to remove before sending
- A generic biography that does not answer the enquiry.
- Unverified availability, property detail, price context, or viewing access.
- A list of qualification questions that belongs in a later consultation.
- Pressure language that assumes the buyer is ready to act.
- Personal or financial detail that does not belong in the AI prompt.
Match the channel to the moment
Current realtor.com guidance recommends matching the channel to the task: a short text can acknowledge an early enquiry, email works for property detail or information the buyer may need to reference, and text can simplify appointment coordination.
Localize the language
For UK audiences, enquiry and viewing may fit naturally. In the US and Canada, inquiry and showing may be more familiar. In Australia, enquiry and inspection may fit. Confirm the professional, consent, representation, advertising, and privacy rules that apply in the buyer's market.
